Event Project Manager
Experienced, hands-on Event Project Manager managing events from planning to execution. Strong in proposals, client and vendor coordination, timelines, budgets and on-site delivery.
Position Overview
The Event Project Manager is responsible for managing events from planning to execution, ensuring projects are delivered on time, within budget, and aligned with client expectations. This role involves preparing proposals and presentations, meeting with clients to understand requirements, and coordinating internal teams and external vendors. The position is primarily office-based, with on-site attendance required during events and flexibility to work outside normal hours when necessary. The ideal candidate is hands-on, detail-oriented, and able to lead project teams while contributing creatively to event concepts and visual planning.
Key Responsibilities
Event Planning & Project Management
Manage end-to-end event projects from proposal stage through execution and post-event wrap-up.
Develop project timelines, work plans, and budgets to ensure smooth delivery.
Lead and guide project team members, assigning tasks and ensuring accountability.
Coordinate with internal teams to align on project requirements and deliverables.
Track project progress, manage risks, and resolve issues proactively.
Proposal, Presentation & Client Management
Prepare event proposals, quotations, and client-facing presentations.
Support event concepts with basic 3D designs or visual layouts (e.g. stage setup, booth layout, event flow) where required.
Attend client meetings to understand briefs, present proposals, and align expectations.
Support proposal presentations and revisions based on client feedback.
Maintain regular communication with clients throughout the project lifecycle.
Vendor & Stakeholder Coordination
Liaise with vendors, suppliers, and venues to source services and manage costs.
Coordinate logistics, production requirements, and event deliverables.
Ensure vendors deliver according to agreed timelines and standards.
On-Site Event Execution
Attend events to oversee setup, operations, and overall event flow.
Act as the main point of contact on-site to handle changes and troubleshoot issues.
Lead on-site teams and vendors to ensure smooth execution and a positive experience for clients and attendees.
Post-Event Reporting
Conduct post-event evaluations and prepare summary reports.
Track project costs and ensure proper project closure and documentation.
Qualifications & Skills
Diploma or Degree in Event Management, Marketing, Communications, Business, or related fields.
Minimum 2–4 years of experience in event management or project coordination.
Experience in proposal writing, presentations, and client meetings.
Basic knowledge or hands-on experience in 3D design tools (e.g. SketchUp, 3ds Max, or similar) is an added advantage.
Demonstrated ability to lead or supervise project teams and manage cross-functional stakeholders.
Strong project management, organizational, and multitasking skills.
Good communication skills in English and Mandarin; Malay is an advantage.
Proficient in Microsoft Office (Word, Excel, PowerPoint).
Able to work independently and manage multiple deadlines.
Flexible to work outside office hours or on weekends when events require.
